February 9 · Virtual pre-conference

A dedicated place to teach and demonstrate.

Luminary and Innovator sponsors can present an educational session, workshop, or product demonstration in the all-day sponsored track. The conference team approves topics, speakers, format, and scheduling.

We can request CLE credit for pre-conference sessions submitted at least 90 days before the conference. Credit approval is not guaranteed.

February 10-11 speaking roles are independently selected. Sponsors may submit speakers for consideration. Sponsorship does not guarantee a place on the main conference program.

Can additional team members participate virtually?

Yes. Sponsors may register unlimited additional team members for free general virtual participation. Package limits apply to included in-person seats and named representatives with sponsor-feature access in the app. Team members separately invited to speak do not count against included in-person seats. When you select multiple sponsorship opportunities, we confirm your total seat allocation before commitment; included seats do not automatically combine. Every participant must register.

How do topic forums work?

Luminary sponsors can develop one practical discussion topic with the conference team, contribute useful prompts and resources, and respond to questions. Forums are shared conference spaces with sponsor acknowledgment and conference-approved topics and participation guidelines.

Will sponsors receive attendee lists?

We will share conference and pre-conference session attendee lists with sponsors, limited to participants who opted in to sponsor contact. Sponsors must keep outreach relevant, personal, and limited in frequency, avoid repetitive messages and excessive email sequences, and promptly honor opt-out requests.

Who manages virtual booth content?

Sponsors manage their own booth creative assets and resource placements without prior conference approval. Pre-conference sessions, topic forums, banners, and conference announcements require coordination and approval.

What do hospitality sponsorships include?

Every hospitality sponsor receives event-specific recognition, website and app sponsor recognition, grouped recognition in all conference emails, one individual social spotlight before and one after across LinkedIn, Facebook, and Instagram, and an in-person allocation: two registrations for the closing reception and one for each other hospitality sponsorship. Exclusive lunch, Day 1 reception, and closing reception sponsorships also include a virtual booth with two named representatives and available reporting. Breakfast and shared-lunch sponsors can add a booth by purchasing a vendor package.

The exclusive closing reception at Cantina Anejo in Gainesville is open to all conference attendees. The sponsor receives “Closing Reception presented by [Sponsor]” recognition on the event listing and reception communications, prominent welcome signage, and a verbal thank-you from the conference host.

How are hospitality sponsorships paid?

Hospitality amounts in the prospectus are estimated catering or venue budgets. Sponsors pay the catering company directly for breakfast, refreshments, lunch, and the Day 1 reception, or pay Cantina Anejo directly for the closing reception. The conference team coordinates the scope, headcount, applicable taxes and service charges, and final invoice for written agreement before commitment.

How does email recognition work?

All conference emails recognize sponsors together. Scholar, Innovator, and Luminary sponsors also receive an educational resource feature in one shared conference email before and one after the event. Each feature includes the sponsor’s organization name, a short description, and a direct link to the resource. Individual social spotlights are separate: one before and one after for every sponsor, adapted for LinkedIn, Facebook, and Instagram.
